1. Purpose & Philosophy

At Yoga Clan, we believe in maintaining transparency, fairness, and mindfulness in every interaction.

This Returns & Cancellation Policy outlines how class cancellations, reschedules, and refund-related matters are managed within the Yoga Clan platform.

Because Yoga Clan operates solely as a digital intermediary — not a payment processor or service provider — this policy primarily defines our facilitative role and the respective responsibilities of teachers/institutions and students.

Our approach balances flexibility with accountability, ensuring that every transaction is guided by mutual respect and fairness.

2. Scope

This policy applies to all bookings and payments made via the Yoga Clan Platform (single-session classes, multi-class packages, subscriptions, drop-ins, and studio-managed sessions). Yoga Clan operates a centralized payment routing model: all student payments are collected into Yoga Clan’s Razorpay account and routed to Teacher vendor/payout channels configured within Razorpay after successful KYC and verification. This policy therefore covers grievances and rules arising from centralized collections, routing, payout timing, KYC onboarding, commission deductions, refunds, reversals, and settlement discrepancies.

3. Nature of Yoga Clan’s Role (centralized payments & routing)

Yoga Clan provides the Platform, class-management tools, and centralized payment routing. Under this model:

  • All student payments are collected into Yoga Clan’s Razorpay account.
  • Yoga Clan provides a vendor/payout channel for each Teacher (using the Teacher’s bank details) within Razorpay once the Teacher completes KYC verification. Yoga Clan does not create separate Razorpay accounts for Teachers; instead, Yoga Clan configures routing to Teacher payout channels inside its Razorpay integration.
  • Payout routing is automated; minimal manual intervention is used only for exception handling (failed settlements, compliance review, or KYC issues).
  • Yoga Clan deducts platform commissions, gateway charges, applicable taxes, and any lawful fees before routing the net settlement to the Teacher’s bank account.
  • Refunds, chargebacks, and reversals are executed via the centralized routing system through Razorpay. Yoga Clan may withhold or reverse payouts when refunds or disputes require reconciliation.
  • Yoga Clan acts solely as an intermediary enabling settlement routing and is not the Teacher’s employer. Yoga Clan is not liable for class quality, instructor conduct, outcomes of instruction, or settlement delays caused by Razorpay, banks, KYC rejections, or regulatory holds.

4. Student Cancellations (centralized execution)

Students may cancel bookings according to the Teacher’s published cancellation and refund policy; however:

  • All refund requests must be submitted through the Platform. Yoga Clan processes refunds through Razorpay in accordance with the Teacher’s refund policy, Platform rules, and applicable law.
  • Refund eligibility is governed by the Teacher’s refund policy and Platform milestone rules (for example, refunds for full courses are typically not permitted after 50% of the course has been completed unless otherwise required by law or approved by Yoga Clan).
  • Once a refund is approved and executed, the timing for funds to return to the payer is subject to Razorpay and banking processes (typically 7–10 business days).
  • Yoga Clan may withhold, delay, or reverse Teacher payouts to reconcile approved refunds, chargebacks, or disputes.

Students should review the Teacher’s policy at booking and retain transaction IDs for any dispute.

5. Teacher or Institution Cancellations (centralized handling)

If a Teacher or Institution cancels a scheduled session:

  • Yoga Clan may issue refunds to affected students via the centralized Razorpay routing system and may adjust or withhold Teacher payouts accordingly.
  • Where cancellation occurs before any payout milestone (for example, before 50% class completion), full or prorated refunds may be issued as appropriate.
  • If cancellation occurs after relevant payout milestones, Yoga Clan will review and determine whether partial refunds or other remedies apply.
  • Repeated or last-minute cancellations may result in payout holds, reduced Platform visibility, temporary suspension, or other applicable sanctions.

Teachers must communicate cancellations promptly through the Platform so Yoga Clan can manage refunds and settlements accurately.

6. Platform-Initiated or Exceptional Cancellations (clarified)

In exceptional cases (platform outage, verified instructor incapacity, force majeure, or regulatory requirement), Yoga Clan may initiate cancellations and process refunds directly through Razorpay. In such instances Yoga Clan will: (a) attempt to notify all affected students and Teachers; (b) execute refunds via the centralized system; and (c) adjust or withhold Teacher payouts as necessary to reconcile settlements, subject to payment-processor and banking rules.

7. Refund Responsibility, Execution & Timelines (centralized model)

7.1 Centralized refund execution

All refunds for transactions collected on the Platform are processed by Yoga Clan through Razorpay. Teachers cannot independently process off-platform refunds for bookings created via Yoga Clan.

7.2 Eligibility & cut-offs

Refunds are evaluated based on the Teacher’s published policy, Platform rules (including any milestone such as 50% course completion), and applicable law. Refunds for completed sessions are generally not permitted.

7.3 Processing timelines

If a refund is approved, Yoga Clan will instruct Razorpay to process the refund. Time for the refunded amount to reflect in the payer’s account is subject to Razorpay and banking partner timelines (typically 7–10 business days). Yoga Clan may deduct payment gateway fees, commission adjustments, or statutory charges from refund amounts where applicable.

7.4 Holds, reversals & disputes

If refunds, chargebacks, or disputes affect amounts already routed to Teachers, Yoga Clan may withhold future payouts, recover funds, or reverse settlements as required for reconciliation. Yoga Clan reserves the right to place temporary holds on payouts while disputes are investigated.

8. Subscription or Package Plans (centralized billing & refunds)

Subscription and package fees for services sold on the Platform are collected by Yoga Clan via Razorpay and routed to the Teacher’s payout channel subject to KYC and settlement rules. Refunds or cancellations for subscription-based products are handled by Yoga Clan in accordance with the Teacher’s refund policy and Platform rules; once a session is attended it is generally considered consumed and non-refundable unless the Teacher’s policy or law provides otherwise.

9. No-Show Policy

Students who fail to attend a booked class without prior notice or within the teacher’s stated cancellation window are not eligible for refunds or reschedules.

Teachers are encouraged to maintain attendance logs for accountability.

10. Dispute Resolution

In case of payment-related disputes or refund disagreements:

  • Students should first reach out directly to the Teacher or institution through Yoga Clan’s in-app communication tools.
  • If the issue remains unresolved, users may request Yoga Clan’s support team to mediate.
  • Yoga Clan will review the case in good faith and may assist by facilitating documentation, verification, or communication between the parties.

Note: Yoga Clan’s mediation is advisory in nature and does not constitute financial liability or a binding resolution.

10A. KYC, Vendor/Payout Channel & Verification (mandatory for Teachers)

10A.1 KYC requirement

To receive payouts, Teachers must complete Yoga Clan’s KYC onboarding. Yoga Clan executes KYC verification via government-provided APIs and/or authorized payment-processor verification endpoints (for example those used by Razorpay). Completion of KYC is required before Yoga Clan will enable routing of funds to a Teacher’s bank account.

10A.2 Documents required (summary)

Individual Teacher: Aadhaar, PAN, and bank account details.

  • Sole Proprietorship: Proprietor ID and address proof (Aadhaar), GST/Udyam/Trade License (if applicable), and bank proof.
  • Partnership / Pvt Ltd / LLP: Incorporation certificate, partnership deed or board resolution, company PAN, company address proof, directors’ KYC, and bank proof.
  • Trust / Society / NGO: Trust deed or registration certificate, organization PAN, authorised signatory KYC, and bank proof.

Bank proof generally requires a cancelled cheque or bank letter showing account name, account number and IFSC.

10A.3 How Yoga Clan handles KYC data

Yoga Clan will submit KYC inputs to government APIs and to Razorpay as required and will store only the minimum verification metadata (for example verification tokens, status, timestamps, and payout channel IDs) necessary for onboarding, reconciliation, dispute handling and regulatory recordkeeping. Yoga Clan follows government and payment-processor rules regarding KYC storage and will not otherwise retain or use sensitive KYC documents beyond permitted purposes.

10A.4 Vendor / payout channel creation & routing

After successful verification Yoga Clan will configure a vendor/payout channel for the Teacher inside Razorpay so that routed settlements can be credited to the Teacher’s nominated bank account. Routing is primarily automated; minimal manual interventions occur only for exception handling.

10A.5 Consequences of incomplete/failed KYC

If KYC is incomplete, rejected or otherwise not approved by Razorpay/government APIs, Yoga Clan may withhold or delay payouts, suspend payout routing, and restrict access to payout features until verification is completed. Yoga Clan is not liable for settlement delays caused by KYC rejections or third-party processing.

11. Legal Compliance

This policy is aligned with:

  • Consumer Protection Act, 2019 (India)
  • Information Technology Act, 2000
  • Digital Personal Data Protection Act, 2023 (India)
  • Reserve Bank of India (RBI) and Payment Gateway Regulations

Yoga Clan fully cooperates with regulatory and financial authorities when required for transaction verifications or legal investigations.
